One template, the whole group
The pattern is written once, in the editor, with field markers: name, course, level, date, number. Issuing fills them in for every student separately.
End of term, twelve groups, two hundred students. Diplomas used to be made one by one in Canva, with names copied from a list. Here you write one pattern and issue the whole group with a single click.
The pattern is written once, in the editor, with field markers: name, course, level, date, number. Issuing fills them in for every student separately.
Every document gets C/2026/1, C/2026/2 and so on. The database counts it under a lock, so two people issuing at once cannot hand out the same number.
Editing the pattern does not change documents that already went out. A diploma from last year looks the way it looked on the day it was handed over.
The student and their guardians get an address by mail where the certificate opens and prints. No account is needed and the addresses come from the school registers.
An issued document is neither edited nor deleted: it stays on the list marked as revoked (the reason is recorded when revoking), and a new one is issued in its place.
A module is a permission, and which records may be touched is settled on write, not in the menu.
| Role | Sees | Changes |
|---|---|---|
| Owner | Every issued certificate, its sending status and the school's templates. | Everything: templates, issuing, sending and revoking. |
| Methodologist | The same as the owner: the module comes by default, with no grant. | The same as the owner, including the document template and revoking. |
| Teacher | Nothing by default. Once granted, sees certificates of students in their groups. | Issues and sends diplomas to their own students. Cannot edit templates or revoke. |
| Student | No access to this screen, same as a guardian. Opens their diploma from the email link. | Nothing. A certificate is not accepted, only read and printed. |
The things that only surface in the third week of working with the module.
No. Every issued document has its own address under /c/ that opens it without signing in, in the light theme, with a print button. The link arrives by email, or you copy it from the table row with “Copy link”. There is no “my certificates” screen in the student's or guardian's panel: the diploma travels by link, just like the student report.
Revoke it and issue a new one. An issued document is never edited, because its number is already out there. “Revoke” on the row asks for a reason (up to 400 characters), and from then on the emailed link shows “Certificate revoked” instead of the content. Only the owner or a methodologist can revoke, and a revoked document cannot be sent again.
No. The content is frozen at the moment of issue: name, group, level, date and number go into the document as finished text. A new version of the template applies from the next batch. So an old certificate may look different from this year's, and that is intended: the document speaks of the day it was handed over.
The student and each of their guardians who has an address in the register. Nobody types an address into the send dialog: the request points at documents and the system picks the mailboxes. The email is in the recipient's language, and one click sends up to 30 certificates. The “State” column then says “Sent” or “Mail refused”. Sending cannot be undone, because the email is already out.
Pro includes 500 certificates, the School plan 1500. All years count together, revoked ones too, because the document was issued. This limit is soft: issuing on the last day of term does not stop, and the operator sees the overrun. Active templates are capped at 5 on Pro and 15 on School, hard, but an archived template takes no place.
Yes, once the school grants the module - it is off by default, because a diploma is a school document. After the grant they issue and send certificates only to students of groups where they are on the teaching staff; a group they only cover as a substitute does not appear. Their certificate list is narrowed the same way. The template and revoking stay with the owner and methodologist.
A person types the level in the “Issue certificates” dialog, with the group's level suggested by default. The module copies no grades or attendance from the Journal. The date on the document defaults to the school's today, but you can enter an earlier one, such as the last day of term. The year in the number comes from that date, and numbering starts from 1 every year.
Seven: student's full name, group name, level, date, number, school name and the name of the person issuing. You insert them from the editor menu, and the preview fills the template with a real student. A misspelled marker does not vanish silently, it stays visible on the document. One school template is the default, and it is the one suggested when issuing.
