Online class register

A language school register is not a school e-register

A language school runs groups instead of classes, levels instead of year groups and enrolment all year round. It teaches children and adults, gets paid by parents, learners and companies, and its teachers work on contracts. A school e-register knows none of this. A language school register is one part of a system that runs all of it.

How a language school register differs

Eight things a state school register never needs to know, and a private school deals with every week. Each one is a Cerium module that feeds the register.

Levelled groups, not classes

A group carries its level and subject as fields, not a year group in its name. A learner can sit in several groups at once, say English B1 and a conversation class.

Module: Groups

Enrolment all year round

Courses do not wait for September. An enquiry from the form lands in the pipeline, the candidate takes a placement test from a link, and a won enquiry creates the student in one window.

Module: CRM

A syllabus from the coursebook

Instead of a national curriculum, a coursebook split into units, one syllabus per group. The teacher marks the unit on each lesson, and “where we are” comes from lessons held.

Module: Course programme

Parent, learner or company pays

The payer of an instalment is a guardian, a company or the learner. Instalment plans, online payment links and reminders before, on and after the due date.

Module: Finance

A contract with the student

A document from the school’s template for the student, a guardian or a company, numbered on issue. It goes out as a link, and acceptance records the name and the moment.

Module: Students

Certificates, not school reports

At the end of a course the whole group gets certificates from one template, with the level, a number running through the year and a link to print.

Module: Certificates

Teachers paid for lessons held

Settlements work out what a teacher is owed for the month, from their contract and the lessons that actually took place. A closed month is frozen.

Module: Settlements

Parent and adult learner, two accounts

A parent signs in to their own account and sees each child separately. An adult learner with no guardian sees their own grades, remarks and payments.

Module: Guardians

What the register has, and what it does not

The “no” list is deliberate. A course school does not keep state school paperwork, so the course plan does not pretend to. Primary school records live in a separate plan.

What a language school register has

  • Attendance in four states, lateness with the number of minutes
  • Marks in the school’s own categories and scale, plus a final grade for the term
  • Topic, plan and syllabus unit on every lesson
  • Homework with a due date, materials and a status for each student
  • Student and parent accounts, with one digest email about grades, remarks and absence
  • Cover for a single lesson, with the group visible to the cover teacher 14 days before and 7 after

What is left out on purpose, because this is a private school

  • Official mark sheets and school reports on Ministry of Education templates
  • SIO and education statistics reporting
  • A bell timetable for classes: each group lesson has its own time and length
  • Staff-wide cover rotas as in state schools: a cover teacher takes over a single group lesson
  • Absence notes as documents: “excused” is an attendance state
  • Integration with Librus or Vulcan: lists of students, guardians and groups move over as a CSV file

Who sees what

Teachers, management, students and parents look at the same register, but each sees their own part. The server enforces the boundary on every save, not a hidden button in the menu.

School ownerThe whole school: groups, staff, payments, contracts, certificates and every group’s register.Payment plans, group staffing, syllabuses, contract and certificate templates, school settings.
TeacherTheir own groups, students and syllabus, and a cover group only in the window from 14 days before to 7 after.Attendance, topics, marks and homework, on their own lessons only.
Adult learnerTheir own register: attendance, grades, remarks and homework, the week’s plan and their payments.Does exercises, pays their instalments online and writes to the teachers of their groups.
ParentEach child separately: attendance, grades, remarks, homework, payments, reports and contracts.Pays with the “Pay” button, accepts the contract from a link and writes to the office and teachers.

Questions about the register

Short answers, no overpromising. What the register does not do is listed alongside.

What the register does not do
  • The course plan does not keep the teaching records required by education law. The separate Primary school plan does (Classes module, pilot).
  • There is no integration with Librus, Vulcan or SIO, including in the Primary school plan. Data moves over once as a CSV file, without attendance or grade history.
  • A student’s group membership has no “from” and “to” dates: the student is either in the group or not.

Librus and Vulcan are the standard in state schools. The Cerium course plan is for private schools and education centres and keeps no official mark sheets, school reports or SIO returns. A private primary school has a separate plan with the Classes module (pilot); for state schools the legal opinion and the pilot are under way.

A school e-register is built around the class, the school year and education law. A language school register is built around a levelled group, a course with a syllabus and whoever pays, and in Cerium it sits in one system with enrolment, payments, contracts and teacher settlements.

Yes. We load students, guardians and groups from CSV files exported from your previous system and help with the migration. Attendance and grade history stays in the old system, so the register in Cerium starts with your first lessons here.

Yes. A parent gets their own account and sees each child separately: attendance, grades, remarks, homework, payments, reports and contracts. Grades, remarks and absences arrive in one digest email rather than a message after every entry.

There is a final grade: the teacher gives it on the school’s scale for a term the school names itself, such as “Autumn term” or “End of course”. The course plan has no official school reports; at the end of a course the school issues a completion certificate with the level and a number. Primary school reports are in the Classes module of the separate plan.

No. The Journal is a Cerium module and comes under the same licence as groups, payments, contracts and the rest of the system, with no separate fee for the register.
