A plan generates charges
Monthly, in installments, one-off, or counted from the lesson grid of the group. The preview is a field: every due date and amount is fixed before saving.
The owner wants to know what the school is owed this month and who is behind, and the front desk which installment the cash in hand belongs to. Three tabs, one entry.
Monthly, in installments, one-off, or counted from the lesson grid of the group. The preview is a field: every due date and amount is fixed before saving.
Money closes the oldest open charge, and an overpayment waits to be placed on the next installment. Nothing booked is deleted - a mistake is reversed instead.
Numbering runs through the year, printouts carry the amount in words and lines for signatures, and a cash report freezes the period it closes.
A student, their guardian or a company pays - picked as an existing record, not typed as text. A student with open charges cannot be deleted.
Stripe on the school own account: a link for specific installments, a charge taken from a saved card before the due date, and reminders about arrears.
A module is a permission, and which records may be touched is settled on write, not in the menu.
| Role | Sees | Changes |
|---|---|---|
| Owner | Plans, charges, payments, the cash desk, links and the school's Stripe account. | Everything. The Stripe account and the robot's settings stay with them alone. |
| Methodologist | Nothing until the owner grants the module; after that, all three tabs. | Plans, reversals and closing a cash report. Connecting Stripe is not theirs. |
| Teacher | Once the module is granted: plans, charges, payments and cash documents. | Takes a payment, settles an overpayment, issues cash documents. No reversals. |
| Student | No access to this screen. | Nothing. The payment link arrives by mail and opens without logging in. |
The things that only surface in the third week of working with the module.
The owner, and not by deleting it but by reversing it - there is no route that deletes a payment, and there never will be. A reversal leaves a trace with a reason and frees the settlements, so the charges open up again; for a cash payment it also voids its own receipt: the number stays and the printout says “VOIDED”. The one thing that stops it is a closed cash report, which has to be reopened first.
From a plan that generates them the moment it is saved: monthly, from two to twenty-four instalments, one-off, or counted per lesson. Before the plan is saved, its preview is a FIELD - the date and the amount of every instalment are corrected right where they are seen. One plan yields at most sixty charges, and it can be set up for one student, for a selection, or for a whole group at once.
A per-lesson plan recounts the instalment by itself: the rate times the number of the group's lessons that were not cancelled that month. This happens after every lesson change in Groups and inside the same transaction, so the timetable and the money cannot drift apart over one failed request. An instalment that already has a payment stays untouched and shows the gap as “5 in the timetable”: a discount or a refund is a human decision.
The oldest open one, then the next, until the payment runs out. What is left becomes an overpayment: it sits with the student and waits for the “Settle overpayment” button, because the next instalment has no right to eat it quietly. Settlement can also be pointed by hand, instalment by instalment. The payer of a payment is a name snapshot, since one week it is the mother and the next the grandmother.
Yes, and that is the only way an incoming cash document is born: out of a cash payment. By hand it may only be issued as a float top-up. The number runs unbroken through the year, separately per cash desk and per kind, and it is assigned under a row lock - without that two people at the desk in the same second would get the same number. The sheet carries an original and a copy, the amount in words and lines to sign.
The period from the day after the previous report up to and including the chosen day. Reports are a chain: the opening balance of each is the closing balance of the one before, so a report that does not reach further than the last one is refused. A document dated inside a closed period will not go in, a cancellation will not pass, and a payment reversal bounces too. Only the last report can be reopened.
Yes, through Stripe on the SCHOOL's account, with its own dashboard and its own bank account - the money does not pass through the platform. The payment link opens without logging in, the amount is counted at the moment of the click, and the session lives half an hour. Once confirmed, the payment books itself. The platform fee is set by the operator, and refunds are made in the Stripe dashboard, coming back here as a reversal.
Neither one. The module does not print a sales invoice - there is a field for the number from the accounting program, so a payment can be matched to it - and it keeps no books: no ledger accounts, no postings, no balance sheet. Teachers' pay is money going OUT, which means Settlements and Contracts: another screen, another permission, the other side of the same wall.
